Adding new customers

This process is an overview of adding a new customer in to Sync 365 License. This can be used as a quick checklist from start to finish.

Checklist

  • Add an agreement to the customer in your PSA(we recommend having prorate enabled on agreements)
  • Refresh PSA data in Sync 365 License (Top right button)
  • Add the customer in and link to their Office 365 Tenant
  • Click on the “Sync Agreement” button to view their licenses
  • Link licenses to a billing profile and their connectwise agreement
    • Optionally set any settings like the billing start date, show usernames on invoice etc
  • Save the license
  • Sync is now set up and will start running

Process

Before starting, please add an agreement to the customer in PSA and click “Refresh Data” in the top right in Sync 365 License if it did not already exist.

Add in a new customer

  1. Click on the Company tab
  2. Click the + to add the customer
  3. In Company Details, Select the company from Manage
  4. Enable Contact sync to Connectwise if you wish
  5. Move the slider to on for “Delegated admin” to use your saved delegated admin account
  6. Select which delegated admin to use (if using multiple)
    1. Set the Slider to “on” to use a delegated partner account and select the partner account to use
    2. Select the customer tenant from the list that you would like to sync
    3. Save the customer

Link the licenses

  1. You will be back at the customer tab (You may need to refresh to load the company just added)
  2. For the customer you added click on the customer name in the list to see their license overview
  1. You will see a list of the customers licenses displayed, along with if they are currently linked to an agreement and billing profile and how many are unused.
  2. Click the license you would like to select a billing profile for
  3. Select the billing profile you created for this license
  4. Select the agreement for the company that it should sync to
    1. Note: it will only list agreements that are active and are the type you have added to the billing profile
    2. It will give you a preview of the settings so you can check it is correct
    3. If you would like to list the usernames on the invoice tick “Add usernames to invoice description”
    4. If you would like to set a minimum quantity to sync, please enter your minimum quantity that it will not go below
    5. Select “Show unassigned license count” if you would like to print the count of unassigned licenses on the invoice
  5. Save the link to the billing profile
  6. This license will now sync through to the selected agreement in manage daily
    1. If you need to sync it through now you can click on Sync now to force a sync
